We call this the walk-in format.
The second point planners tend to underestimate: the barrier to joining has to sit at zero. Someone who shows up to the summer party in a sundress or a shirt will not touch anything that looks like it needs work clothes. That is why how a format handles paint is not a minor detail. Nobody leaves our sessions dirty. Graffiti is cleaner than most people assume, and we still bring gloves and covers as standard.

This is the proof that a three-digit group works without a tent city, as long as the space is right.
Cruise Terminal in HafenCity, 80 people. A company team event with free-form action painting overlooking the Elbe. This case shows the other setup: no fixed design, no brief, just an open painting surface as part of the evening.
Museumshafen, on the pier in front of the MS Bleichen. For HANSAINVEST, the event ran on the old museum ship MS Bleichen, with painting on the pier in front, a graffiti wall, and an action painting setup under the historic loading doors. If your venue already has a story, you do not need decoration on top of it.
There is also a reference that shows what is possible within a tight time window. In her Google review, Stefanie Beulke describes a workshop with 65 people: “[…] Luca confidently guided us through the session and handled the large number of participants brilliantly. Planning it: lead time, space, cost
Lead time is shorter than most people assume. One to two weeks is enough even for large groups, and the shortest turnaround we have managed was 48 hours. That does not mean you should plan that way. It means a program item that falls through late can still be rescued.

Large groups never work as a single block, they work in parallel small groups across several surfaces. That is exactly what makes headcount the single most important detail in your request, because it decides the space, the amount of material, and the crew. A note from experience for your sign-off: adding people later is almost always possible, cutting the number is difficult, because material and setup are already planned. Calculate on the tighter side and report growth afterward, rather than booking a wish number and trimming it later.
